BYLAWS

ARTICLE I - NAME
The name of this Society is THE
MID-EASTERN
DANCE
SOCIETY
OF
KENTUCKIANA.
ARTICLE II - ORGANIZATION
The Society is a non-profit organization.
ARTICLE III - PURPOSE
- To provide an opportunity for further study in Middle Eastern dance and culture.
- To educate the public in the cultural aspects of the dance.
- To provide an opportunity for self-expression through the dance.
ARTICLE IV
-
MEMBERSHIP
AND
DUES
- Any individual who subscribes to the purpose of the Society may become a member of this organization.
- Only members of the organization will be eligible to participate in its business meetings, or to serve in any of its elective or appointive positions.
- Membership fee for the calendar year is $17. Persons applying for or renewing membership before the January meeting pay $15.
- New family memberships have been discontinued. Associated memberships have been discontinued.
- As of 2008, members with 20 yearas or more continual membership can renew membership at no cost.
- Voting: Motions presented at general meetings will be passed with the majority vote of members at meeting.In the case of a tie, the President's vote will determine the outcome.
ARTICLE
V
-
OFFICERS
AND
THEIR
ELECTION
- Each
officer
of
the
Society
shall
be
a
member
of
the
Society.
- The
officers
of
the
Society
shall
consist
of
a
President,
Vice-President,
recording
secretary,
and
treasurer.
- Members
interested
in
becoming
candidates
for
office
shall
present
their
intent
at
the
January
meeting.
The
names
of
the
candidates
shall
be
presented
to
the
members
via
meeting
minutes
prior
to
the
February
meeting.
Officers
shall
be
elected
by
secret
ballot
annually
in
the
month
of
February.
Proxy
voting
is
not
allowed.
- Officers
shall
assume
their
official
duties
at
the
first
meeting
in
March
and
shall
serve
for
a
term
of
1
year
until
the
election
and
installation
of
their
successors.
- The
meeting
in
the
month
of
February
shall
be
designated
as
the
annual
meeting.
- A
vacancy
occurring
in
an
office
shall
be
filled
by
a
majority
vote
of
the
remaining
members
of
the
executive
board.
Due
notice
of
such
election
shall
be
given.
In
the
case
of
vacancy
in
the
office
of
the
President,
the
Vice-President
shall
serve
notice
of
the
election.
ARTICLE
VI
-
DUTIES
OF
THE
OFFICERS
- The President shall preside at all meetings of the Society;
shall be a member ex-officio of all committees;
shall file the annual report with the KY Secretary of State no later than June of each year;
shall perform all other duties usually pertaining to the office.
- The Vice-President shall act as an aide to the President
and shall perform the duties of
the
President
in
the
absence
or
inability
of
the
officer
to
serve.
The
Vice-President
will
also
be
in
charge
of
programs
and
shall
arrange
monthly
meeting
sites
and
maintain
a
list
of
sites
in
advance
of
monthly
meetings.
The
Vice-President
shall
coordinate
the
provision
of
refreshments
at
monthly
meetings.
- The
Recording
Secretary
shall
keep
an
accurate
record
of
all
meetings
of
the
Society
and
shall
distribute
meeting
minutes
monthly
to
all
members
by
e-mail
and
by
postal
mail
where
necessary.
- The
Treasurer
shall
have
the
custody
of
all
funds
of
the
Society
and
shall
keep
an
accurate
account
of
receipts
and
expenditures.
The
Treasurer
shall
make
disbursements
authorized
by
the
Executive
Board.
The
Treasurer
shall
present
a
statement
of
account
at
every
meeting
and
at
other
times
when
requested
by
the
Executive
Board
and
shall
make
a
full
report
at
the
annual
meeting
to
be
held
in
November.
- All
officers
shall:
- Perform
the
duties
prescribed
in
the
parliamentary
authority
in
addition
to
those
outlined
in
these
bylaws
and
those
assigned
from
time
to
time.
- Assume
their
official
duties
at
the
first
meeting
in
March.
ARTICLE
VII
-
MEETINGS
- Regular
meetings
of
the
Society
shall
be
held
the
last
Sunday
of
every
month,
excluding
June,
July
and
December.
The
location
of
meetings
shall
be
designated
by
the
Executive
Board.
The
time
of
the
meetings
will
be
1:30
p.m.
unless
otherwise
specified
by
the
Society
or
by
the
Executive
Board
with
seven
(7)
days
prior
notice
being
given
to
the
members.
- Special
meetings
may
be
called
by
the
Executive
Board
provided
that
7
days
notice
is
given.
- New
officers
will
be
installed
the
first
meeting
in
March
and
they
will
take
over
their
duties.
- Records
of
meeting
minutes
shall
be
kept
together
and
available
for
public
inspection
at
general
meetings.
Subsequent
communications
made
by
members
via
electronic
mail
to
the
general
membership
shall
avoid
references
to
religious
or
political
topics.
ARTICLE
VIII
-
EXECUTIVE
BOARD
-
The
executive
board
shall
consist
of
all
elected
officials
and
all
appointed
committee
heads
of
this
Society.
- The
duties
of
the
Executive
Board
shall
be
to
transact
the
necessary
business
in
the
intervals
between
Society
meetings
and
other
such
business
as
may
be
referred
to
it
by
the
Society.
ARTICLE IX
-
STANDING
COMMITTEES
- Such
standing
committees
shall
be
created
by
the
President
as
may
be
required
to
promote
the
objects
and
interests
of
the
Society.
The
chairmen
shall
be
selected
by
the
President.
Their
term
of
office
shall
be
one
year.
- The
chairmen
of
standing
committees
shall
present
plans
of
work
to
the
Executive
Board
and
no
work
shall
be
undertaken
without
the
approval
of
the
Executive
Board.
- No
standing
committee
shall
spend
an
amount
greater
than
$50
at
one
time
without
the
approval
of
the
Executive
Board.
ARTICLE
X
-
FISCAL
YEAR
The
fiscal
year
of
the
association
shall
begin
on
January
1
and
end
on
the
following
December
31.
ARTICLE
XI
-
PARLIAMENTARY
AUTHORITY
Robert's
Rules
of
Order
Newly
Revised
shall
govern
the
Society
in
all
cases
in
which
they
are
applicable
and
in
which
they
are
not
in
conflict
with
these
bylaws.
ARTICLE
XII
-
AMENDMENTS
These
bylaws
may
be
amended
at
any
regular
meeting
of
the
Society
by
a
2/3
vote
of
all
members
present
and
voting,
provided
that
notice
of
the
proposed
amendment
shall
have
been
given
at
the
previous
meeting.
ARTICLE
XIII
-
DISSOLUTION
OF
THE
SOCIETY
In
the
event
the
Society
dissolves,
all
moneys
will
be
donated
to
a
charity
chosen
by
a
2/3
majority
of
all
members
present
at
the
last
meeting
of
the
Society.
Duties
of
Officers
- President:
The
President
shall

at
all
meetings
of
the
Society;
shall
be
a
member

shall

all
other

- Treasurer:
The
Treasurer
shall
have
the

shall

Treasurer
shall

treasury
balance
to

membership at monthly meetings and shall make a full

- Standing
Committees:
Such
standing
committees
shall
be
created
by
the
President
as
may
be
required
to
promote
the
objectives
and
interests
of
the
Society.
The
chairman
shall
be

the
President.
Their
term
of
office
shall
be

The
chairmen
of
standing
committees
shall
present
plans
of
work
to
the
Executive
Board
and
no
work
shall
be
undertaken
with
the
approval
of
the
Executive
Board.
No
standing
committee
shall
spend
an
amount
greater
than
fifty
dollars
($50)
at
one
time
without
the
approval
of
the
Executive
Board.
Traditional
Standing
Committees
- Membership:
Promote
membership
to
the
Society.
Keep
updated
lists
of
members
to
include
addresses,
phone
numbers,
and
E-mail
addresses.
Shall
assemble,
maintain
and
distribute
membership
packets
to
new
members.
Membership
packages
shall
include:
by-laws,
library
list,
MEDSOK
brochure,
application,
biography
form,
and
membership
list.
- Publicity
and
Public
Service:
Promotes
Society
events
within
the
media
by
issuing
press
releases
and
making
contact
with
local
media.
Shall
arrange
at
least
one
event
per
year
in
an
educational
or
public
service
setting
for
presentation
of
a
cultural,
informational
or
entertainment
program
to
the
community
at
large
by
Society
members.
- Hufla
Chairman:
Arranges
for
a
site
for
the
Society's
workshop/hufla
by
communicating
with
hotels
or
other
venues.
Corresponds
with
artists
and
vendors
for
the
hufla.
Contracts
with
said
artists
and
vendors.
Coordinates
set-up,
take-down,
and
tickets
sale
crews
from
among
Society
members.
- Historian,
Research,
and
Education:
Maintains
Society
scrapbook
and
provides
photo
archives
of
Society
events.
Provides
informational
materials
to
members
at
meetings
to
include
news
and
journal
articles,
and
points
of
interest
related
to
Middle
Eastern
Dance
and
Culture.
Shall
photograph
and/or
video
Society
events
using
his/her
own
digital
camera(s)
and
is
to
be
compensated
by
the
Society
for
expenses
related
to
such
activities.
- Librarian:
Maintains
library
material
and
provides
materials
to
members
at
monthly
meetings
or
by
arrangement.
Maintains
deposits
made
by
members
and
returns
deposits
when
library
materials
are
returned.
Maintains
a
library
list
of
materials
and
provides
lists
to
members.
Provides
list
for
publication
on
the
Society's
Web
site.
Purchases
new
materials
not
to
exceed
$200
per
year
unless
otherwise
authorized
by
the
membership.
- Props:
Maintains
Society
props
and
arranges
for
its
transport
to
Society
events
as
needed.
- Equipment/Maintenance:
Maintains
the
Society's
electronic
sound
and
lighting
equipment
and
arranges
for
its
transport
to
Society
events
as
needed.
- Webmistress:
Maintains
Society
website
to
publish
all
Society
information
to
member
biographical
information.
- Special
Events
Coordinator:
Coordinates
the
Society's
members-only/invited
guests
events
to
include
the
holiday
party,
the
summer
picnic,
and
informal
huflas.
Operations Rules
Club has an annual budge of $200 for media: books, videos, magazines.
